- Introduction to Subject of Terms
These terms and conditions govern the contract between the individual(s) purchasing the travel services (hereafter “the client(s)”) and Erika Safaris (hereafter “the company”) to the exclusion of all other terms and conditions, save for those implied by law. No variation to these terms and conditions shall be valid unless given in writing and signed by the client and the company.
- All safari rates listed are on full board basis only and inclusive of 3 meals per day. The safari rates are quoted in US Dollars. Payment can be made in US Dollars or local currency (Ugandan Shillings) at the exchange rate ruling on the day payments are made.
- The person booking agrees that the safari shall be deemed to be concluded in the country mentioned, and shall be interpreted according to the laws of that country. In the event of any action here under, the Supreme Court of that country shall have jurisdiction in regard thereto.
- Acceptance of booking
- The person who signifies his/her acceptance of a booking does so on behalf of persons under his/her authority, which means that all members are equally bound by these terms and conditions.
- Deposits
- To secure a booking, a deposit of 30% the value of the safari is required on confirmation of the booking.
- Payments for gorilla permits (US$ 700 per permit) and chimpanzee permits (US$ 200) shall be made in full amount.
- Payments
- Unless otherwise agreed, the client is required to make full payment 30 days prior to arrival. If the full amount is not paid in due time, the company reserves the right to treat the booking as cancelled. The company will not be held responsible for price changes or over-bookings in the time between booking and receiving the deposit.
- Bookings made within 30 days of the departure date must be paid in full immediately. Payments can be made by bank transfer to the company bank account in Uganda. Transfer costs are to be paid by the client(s).
- Bank details
- Payments to Erika Safaris Limited are made through the bank. Bank details are provided on request upon acceptance of the booking.
- Please be advised that international bank transfer fee may be incurred.
- Cancellation Policy

The company reserves the right to cancel the safari or any part of it for any of the following reasons:
- If the company or its supplier(s) regard adverse weather conditions or other safety concerns as unacceptable and which cannot reasonably be overcome.
- If the company reasonably believes that you may cause harm or damage to its reputation or to the reputation of its suppliers or to property belonging to its suppliers.
- If changes you wish to make to the booking mean it is uneconomical or impractical to hold the safari.
- Should the company cancel the safari, it shall be rescheduled for a mutually convenient date, or a refund shall be provided to the client.
- The Company shall be excused and shall not be deemed in default for any failure of performance hereunder, for any reasons beyond its control. Such case shall be deemed to include, without limitation, war, warlike operations, armed aggression, insurrection, riots, fire, explosions, accidents, failure to obtain any government approvals, Governmental acts or omissions, regulations or orders, acts of God, acts of the public enemy, epidemics, quarantine, restrictions or labour troubles.
- By the client(s)
- Bookings that are cancelled are subject to cancellation and “no show” fees payable at the discretion of the Company Ltd under the following terms:
- 90 – 30 days prior to client arrival date – 10% cancellation fee will be charged
- 30 – 15 days prior to client arrival date –25% cancellation fee will be charged
- 14 – 7 days prior to client arrival date – 50% cancellation fee will be charged
- Less than 7 days prior to client arrival date – 100% cancellation fee will be charged
- All cancellations or amendments are only accepted when received in writing by the Company and any bank charges that are associated with refunds made by bank transfer will be deducted from the initial sum.
- Alterations made by a client
- The company shall try to accommodate any reasonable changes the client wishes to make to the safari. Alterations and amendment requests should be made with the company and not with end suppliers. And such requests should be made in writing to the company. These changes shall not be deemed accepted until confirmed in writing by the company. If the client wishes to increase or decrease the number of persons participating in the safari, this may be done up to four weeks prior to the date upon which your safari is due to start without additional charge.
All amendments made after that date will incur an administration charge of US$ 50 per person. The company cannot guarantee that the change to the price will be pro-rata, but will instead depend upon the arrangements the company is able to make with its suppliers. Subject to the company’s written agreement, the client may transfer a booking to a person who satisfies all the conditions applicable to the safari.
- Alterations made by Erika Safaris
- When requested accommodation is fully booked or otherwise unavailable, the company reserves the right to change the accommodation to an accommodation of the same standard in the same area. This change must be communicated to the client.
- Fare Variations (Increase/Decrease)
- Fare increase or decrease may occur due to changes in game reserve fees, or fluctuation of exchange rates. The company reserves the right to modify the fare and add a surcharge. Should any clients refuse to accept and pay such surcharge, the company reserves the right to cancel the tour and retain full payment.
- Clients’ responsibilities
- The client acknowledges that it is solely his/her responsibility to ensure that he/she is in possession of the necessary travel documents that may be required in respect of the proposed tour and itinerary as well as all health and other certificates that may be required.
- The client agrees that he/she is aware of and accepted that he/she may be exposed to a variety of risks and dangers during the safari.
- The Client agrees to comply at all times, any warning notices and instructions or requirements during the safari and/or the person in charge of any activity and will not in anyway constitute a nuisance to any other clients either.
- Child Policy
- Children’s rate: Under 5 years, accommodated free if sharing room with full paying adults (maximum one child.)
- Children between 5-12 years of age are accommodated at 50% of the relevant adult rate when sharing a room with full paying adults (maximum one child)
- Children of above 12 years pay the relevant full adult rates applicable.
- Special request/Complaints
- Clients who have special requests must specify such requests to the company in the booking reservation form. Whilst the company will always endeavor to accommodate such requests, it does not guarantee that it will always be possible.
- Any complaints as regard to the safari, staff member, accommodation facility or any activity must be made in writing to our official email of the Company within 21 days after staying.
